Privacy Policy

NotaryOps is a digital notary journal operated by Blue Blip Tech LLC, McDonough, Georgia ("we", "us"). This policy explains what information we collect, how we use it, who we share it with, and the choices you have.
1. Who this policy covers
Account holders and notaries. We are responsible for the account information of the people who sign up for NotaryOps and the notaries their organizations add.
Signers. When a notary records a notarization, they enter information about the people whose signatures they notarize. That information belongs to the notary's journal. The notary, or the organization that employs them, decides what is recorded and is responsible for it under the notary laws that apply to them. We store and process it on their behalf, only to provide the service. Signers who have questions about a journal entry should contact the notary who recorded it.
2. Information we collect
Account information
- Name, email address and password (stored only as a one-way hash).
- Organization name, if you register as or upgrade to an organization.
- For notaries added by an organization: username, notary ID and contact email.
- The date and time you accepted this Privacy Policy and the Terms of Service.
Journal information entered by notaries
- Document type, number of pages, notarial act, fee paid, date, time and location of each notarization.
- For each signer: name, and optionally address, city, state and phone number; type of identification and identifying details.
- Signatures, drawn on screen or photographed, and optional photos of identification documents. Location and other metadata are removed from photos when they are processed.
- Corrections added to entries, with the name of the notary who added them.
Identity verification results
If a notary uses Verify ID, the signer completes a check with our identity verification provider, Didit. We keep a summary of the result: the verification status, the name, document type, document number, issuing state, expiration date and address read from the document. We do not keep the images captured during the check or the date of birth. The summary can be used to fill in the signer's details in the journal entry.
Billing information
Payments are handled by Stripe. We do not see or store card numbers. We keep the Stripe customer and subscription identifiers and the status of your subscription.
Technical and security information
- IP addresses and the date and time of sign-ins, exports, account changes and other security-relevant actions, recorded in an audit log.
- Cookies that keep you signed in and protect forms and sign-in (see section 7).
3. How we use information
- To provide the service: keep journals, verify identities, produce PDF exports and manage organizations and notaries.
- To secure accounts: emailed sign-in codes, CAPTCHA, lockout after failed attempts, and detection of misuse.
- To send transactional email such as verification links, invitations and sign-in codes. We do not send marketing email without your consent.
- To bill subscriptions and keep records required by law.
- To respond to support requests and to comply with legal obligations.
We do not sell personal information, share it for cross-context behavioral advertising, or use journal or identity information to train machine learning models.
4. Who we share information with
We share information only with service providers that help us run NotaryOps, under contracts that require them to protect it and use it only for that purpose:
- Stripe: subscription billing and payment processing.
- MailerSend: delivery of transactional email.
- Didit: identity document verification, when a notary uses Verify ID.
- Hosting and infrastructure providers that run our servers, databases and backups in the United States.
Within an organization, the organization's administrator can see and export the journals of the notaries in that organization. Notaries see only their own journals.
We may also disclose information when required by law, subpoena or court order, to protect the rights and safety of our users or others, or as part of a merger or sale of our business, in which case this policy will continue to apply.
5. How long we keep information
- Journal entries, including signer information, photos and signatures, are kept for 10 years from the date of the notarization, including after a notary leaves an organization or an account is closed, so they remain available as notary records. They are then deleted.
- Identity verification sessions are deleted from Didit once the check is complete. Verifications that were never attached to a journal entry are deleted after 30 days.
- Audit log records are kept for 7 years.
- Account information is kept while the account is open and for as long as its journals are retained.
- Billing records are kept as long as tax and accounting law requires.
6. How we protect information
Signer details, identification details, photos, signatures and verification results are encrypted in our database. Connections use HTTPS. Sign-in requires a one-time code sent to your email, and accounts lock after repeated failed attempts. Access to administrative functions is restricted, and security-relevant actions are recorded in a tamper-evident audit log. No method of storage or transmission is completely secure, but we work to protect your information and will notify affected customers of a breach as required by law.
7. Cookies
We use only cookies that are necessary for the service to work: to keep you signed in, to complete the emailed sign-in code step, to protect forms against forgery, to check CAPTCHA answers and to show one-time messages. We do not use advertising or analytics cookies.
8. Your choices and rights
You can update your name and password in your account settings. Depending on where you live, including under California and other U.S. state privacy laws, you may have the right to know what personal information we hold about you, to receive a copy, to correct it and to ask us to delete it. To make a request, email hello@notaryops.app. We will verify your request and respond within the time the law requires, and we will not discriminate against you for exercising your rights.
Some information cannot be changed or deleted on request. Journal entries are permanent notary records: they can be corrected with an added correction but not edited or removed, and they are kept for the retention period above. Requests about a signer's information in a journal are handled with the notary or organization that recorded it.
9. Children
NotaryOps is intended for notaries and businesses. It is not directed to children, and we do not knowingly collect account information from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify account holders by email or in the app before they take effect. The effective date above shows when it was last changed.
